The Best Bookkeeping Software for Small Businesses That Actually Saves You Time

Most small business owners didn't start their business to stare at spreadsheets, lost and confused about why they can't seem to find enough money to pay themselves consistently every month.

Bookkeeping is necessary but overwhelming for many business owners, especially those without an accounting background.

That’s why choosing bookkeeping software that makes sense to your brain is so important. It should be simple, save you time, and not require a finance degree to understand.

Not all bookkeeping tools are created equal. Some are created for accountants (which is probably why you find them to be so frustrating!), and others are built with business owners in mind.

I definitely have a favorite, but it might not be the best option for you. So let’s decide, right here, right now, what the best bookkeeping software is for your small business.

What to Look for in Bookkeeping Software

I think the biggest thing all bookkeeping software should have is an easy, intuitive interface or dashboard. If you can’t figure out how to use it pretty easily, there’s no way you’ll be consistent with using it! And consistency with your books prevents overwhelm.

I also think bookkeeping tools should include built-in automation. It should be able to connect to your banks, automatically pull in invoices and expenses, and categorize them for you. The more automation you can set up, the easier it will be to understand your books.

These are some other features I love in bookkeeping software:

  • Invoicing and expense tracking

  • Intuitive reporting

  • Affordable pricing for small business budgets

  • Mobile app access

  • Quality customer support

But honestly? The features you need really depend on your business and how much you understand bookkeeping.

If you need everything done for you because you’re a new business owner, you’ll probably need a different tool than someone who knows what the jargon-y terms mean and can generate a profit and loss statement on their own.

The Problem with "Accountant-First" Software (ahem, QuickBooks)

QuickBooks is one of the most popular platforms in the accounting / bookkeeping world, which leads small businesses to believe it’s the only option.

I’ve had several clients sign up for QuickBooks, believing it will be simple to set up and use, but it’s just not. They get confused and frustrated because the platform is loaded with jargon, complex menus, and features most small businesses will never use.

And there’s a reason for that. QuickBooks was built by accountants, for accountants. It’s marketed as an accounting tool for small businesses, but if you don’t have an accounting background, you’ll have a steep learning curve that wastes time and makes bookkeeping feel hard.

QuickBooks is positioned as the industry default, but that doesn't mean it's the right fit for small business owners.

That’s the main reason why I don’t recommend QuickBooks for small businesses.

1. Xero — Best for Non-Technical Small Business Owners

Xero is my favorite bookkeeping software. It has a clean, modern interface designed for everyday business owners. As soon as you open the tool for the first time, everything is easy to find and makes logical sense, even if you aren’t familiar with accounting terms.

2. FreshBooks — Best for Freelancers and Service Businesses

If Toggl, Dubsado, and QuickBooks had a baby, it would be FreshBooks. It includes built-in time tracking and client management, along with accounting capabilities, making it an all-in-one platform for running your business.

I will say that it’s a little less robust for product-based businesses. It’s amazing for service-based businesses, but if you sell products, you might find its capabilities to be a little limiting.

  • Built-in time tracking, ideal for billing clients by the hour

  • Expense tracking with receipt capture via mobile

  • Client portal for easy communication and invoice approval

  • Project profitability tracking

  • Simple, visual financial reports

Best for: Freelancers, consultants, and service-based businesses that invoice clients regularly and need time tracking built in.

3. Wave — Best Free Option

Completely free bookkeeping and invoicing?! Sign me up.

Wave offers bookkeeping software at zero cost and is actually easy to set up and use. It’s perfect for new businesses just starting to manage their books.

If you want more features, like auto-importing and categorizing bank transactions, you’ll have to upgrade to the paid plan. Even so, it’s an affordable bookkeeping software option.

Key Features:

  • Completely free invoicing and bookkeeping

  • Unlimited income and expense tracking

  • Automatic bank and credit card connections

  • Basic financial reports, including profit & loss and balance sheet

  • Paid add-ons available for payroll and payment processing

  • Simple, clean interface with minimal setup

Best for: Solopreneurs, side hustlers, or brand new businesses that need a no-cost way to get their books in order before investing in paid software.

4. Zoho Books — Best Budget-Friendly Full-Feature Option

Zoho Books wins the award for best automation at an affordable price. It offers a surprisingly full set of features at a much lower cost than Xero or QuickBooks. It does take a little longer to set up and get familiar with all the capabilities, but once all the automations are in place, it’ll save you so much time.

  • End-to-end bookkeeping, including invoicing, expenses, and bank reconciliation

  • Strong automation for recurring invoices, payment reminders, and workflows

  • Client portal for invoice viewing and payments

  • Solid inventory tracking for product-based businesses

  • Robust reporting with customizable dashboards

  • Seamlessly integrates with the wider Zoho business suite

Best for: Budget-conscious small business owners who want all the features without an expensive fee.

Can ChatGPT Do Your Bookkeeping?

AI can write emails, summarize contracts, and answer almost anything you throw at it. So why not hand your bookkeeping over to it, too?

ChatGPT can be a great assistant, but it’s not an accountant. And it’s definitely not bookkeeping software.

ChatGPT can’t connect to your bank account, automatically categorize transactions, generate a real-time profit-and-loss report, or send an invoice to a client. You’d essentially be doing all the data entry yourself and asking ChatGPT to make sense of it.

Not to mention, you’re giving all your private financial information to AI, and no one is 100% clear about how that data is being used or stored. I personally wouldn't want ChatGPT or any other AI tool to know the ins and outs of my books.

Here are some ways you CAN use ChatGPT as your bookkeeping assistant:

  • Explain confusing financial jargon

  • Draft payment reminder emails

  • Summarize your profit and loss report

  • Create expense categories to help you decide how to organize your spending

ChatGPT can be a useful tool, but it should never replace a bookkeeper OR bookkeeping software.

How to Choose the Right Bookkeeping Software for Your Business

The best bookkeeping software is the one you’ll actually use. If you dread going into your chosen software because you just know it’s gonna take you hours to find what you need and do what you need to do, it’s not the right tool for you.

Let’s break it down simply:

  • Just starting out + tight budget? → Wave

  • Freelancer or service-based business? → FreshBooks

  • Non-technical and want the best overall experience (also my fave!) → Xero

  • Need lots of features on a budget? → Zoho Books

  • Have a dedicated accountant on your team? → QuickBooks might work

Your Books Shouldn't Give You a Headache

Bookkeeping software should work for you, not require a Master’s degree, certifications, and a weekend crying over tutorials to operate. Even if you have a dedicated bookkeeper, you should still know how to understand and navigate your books.
